How to use it

Every [bracketed phrase] is a blank. Replace all of them before you send anything — an email that goes out still saying [Brand Name] does more damage than the email would have done good.

The tone is deliberately neutral so it survives being pasted into your own voice. Change it. A template that sounds like a template is the one people unsubscribe from.

The send timings under each one are the conventional windows these emails are built around, not measured results from our own accounts.

Print it, or save it as a PDF from the print dialogue. The site chrome, the buttons and this note all drop out; the worksheet is what comes off the printer.

1. The welcome

Build trust and set expectations immediately after someone signs up. Send it within minutes, automatically.

2. The abandoned cart

Recover a sale from someone who filled a cart and left. Conventionally sent one to four hours after they go.

Stock is not held indefinitely, so if you meant to finish, now is the moment.

If something stopped you — a delivery question, a size, a price — just reply to this email and a person will answer.

3. The cross-sell

Raise the lifetime value of a customer by suggesting the thing that goes with what they bought. Conventionally sent seven to fourteen days after purchase.

4. The win-back

Re-engage a subscriber who has stopped opening. Conventionally sent after sixty to ninety days of silence.

5. The post-purchase follow-up

Collect feedback and reviews from people who have actually received the thing. Conventionally sent ten to twenty days after delivery.

Before you paste any of these into a sending tool

Every one of these has to carry a working unsubscribe link and a real postal address for the sender. That is not a style preference — it is what keeps you out of the spam folder and inside the law in most of the markets you are likely to be sending into.

Send from a person, not from noreply@. Three of these five explicitly invite a reply, and an address that cannot receive one turns an invitation into an insult.

Set up the automation before you write the fourth and fifth emails. A welcome that fires reliably beats five beautiful emails that somebody has to remember to send by hand.

The sending checklist

Run this on each template before it goes into your tool, then again before the automation is switched on.

  • Every [bracket] is replacedSearch the body and the subject line for an opening square bracket. That single check catches most of what goes wrong.
  • The subject line survives being truncatedA phone shows far less of it than your screen does. Read yours on the smallest phone you own and check the first few words still say something.
  • There is one clear thing to doOne action per email. A second button halves the number of people who press the first.
  • The unsubscribe link worksClick it in the test send. A broken unsubscribe is how a mailing list becomes a spam complaint.
  • It reads on a phoneSend yourself a test and open it on the smallest screen you own before anyone else sees it.
  • The reply address is monitoredIf the email invites a reply, somebody has to be reading that inbox.

Writing the email is the easy half. Making it fire reliably is the other one.
